Admin Workshop (Operations & QEOHS)
You should have at least 3-5 years' experience in covering the role of Admin in the workshop in the Oil&Gas / Industrial Market.
We are looking for an experienced professional who can coordinate logistics, repair schedules, ordering material for workshop and ensuring smooth operation in the workshop. He/she shall have experience in handling Quality & EOHS Management System and experience in handling paperwork, data entry, proposals preparation, order acknowledgements, invoicing, completing the entire cycle of component repair.
Your tasks will be the following:
- Maintain QEOHS management systems in line with ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health and Safety) standards.
- Ensure compliance with Legal requirements concerning Environmental, Occupational, Health & Safety protection, regulations, and industry standards.
- Maintain accurate and up-to-date documentation for all QEOHS processes, procedures, and required records.
- Monitor QEOHS KPIs and report performance monthly highlighting areas for improvement and actions taken.
- Manages the clients' orders and RFQ of the geographic sales area to maximize sales revenues and meet corporate objectives.
- Collaborate with the Sales Engineer by processing of spare parts quotations and technical quotations using ERP System
- Handing over orders to the operations and support locally, on request, their execution.
- Preparing / revising cost estimation and commercial proposals.
- Handling a wide range of administration support including logistic, invoicing and inventory management.
- Assisting in preparation of sales agreements and contracts.
- Invoicing, generate sales documentation as required.
- Accurately forecasts weekly and monthly order intake and revenue.
- Act always in accordance with recognized standards for Health, Safety and Environmental as detailed and operate within the parameters detailed by either local Health, Safety and Environmental Policy documents.
- To help Clients with their problems or complaints and to achieve a satisfactory solution.
- Establishing, maintaining, and expanding your customer/supplier base.
- Respond efficiently to the demands of administration procedures imposed either by the company, HR or Clients.
Job Requirements:
- You must have a bachelor's degree in administration or Equivalent.
- Experience in managing QEOHS systems within a similar industry.
- Proficiency in using QEOHS management software and tools.
- You have a passion for customer focus, a strong service orientation, enjoy working with people from different nationalities and possess excellent interpersonal skills.
- You are of a reliable and communicative nature and have strong analytical and organizational skills.
- A high degree of independence, communication skills in discussions with international clients and a highly developed quality conscience are characterizing your personality.
- Excellent communication and interpersonal skills and you are familiar with the following IT applications (MS-Office; ERP; Etc.)
