Responsibilities

· Manage the reception area, breakroom, general telephone directing, and mail communications

both internally and externally to maintain a professional image.

· Work directly with the UPS and FedEx vendor to ensure all packages are being delivered in a

timely manner.

· Maintain inventory for all office supplies, janitorial supplies, and inventory parts.

· Data Entry – AFPS (Purchase orders, order confirmations, and invoices), QuickBooks (credit card transactions), and Lotus (tasks and contacts)

· Manage email accounts daily. Check for spam and route emails to the appropriate employee.

· File paperwork, scan documents for retention.

· Develops general correspondence, memos, charts, graphs, and tables.

· Maintain levels of inventory and physical count at appropriate intervals

· Enters information into the accounting data entry system.

· Verifies and prepares checks for mailing.

· Assists with special accounting projects as needed.

· Assists with month-end close and runs monthly reports as required.

· Prepares and posts deposits, and balances deposits on bank statements.

· Prepares invoices, checks, timecards, and other records and reviews for accuracy.

Additional duties as assigned.

 

Education/Experience/Knowledge:

Education:

· High School Diploma; Associate degree preferred.

Experience:

· 3-5 years in the performance of responsible administrative and secretarial work in a field

operations environment.

Skill Requirements:

· Excellent general secretarial-type administrative skills.

· Strong verbal and written communication skills.

· Strong math skills.

· Some analytical ability is required to gather and summarize data for reports.

· Excellent problem-solving skills.

· Excellent written and oral communication skills.

· Good organizational skills and ability to prioritize multiple tasks to meet schedules.

· Highly proficient in Microsoft products including Word, Excel, PowerPoint.

 

Language knowledge:

· English: fluent spoken and written.

· Spanish – considered as an advantage.
